What is PaintManager software?

PaintManager software is the state-of-the-art tool for monitoring and managing the productivity and profitability of a paint operation, no matter the size of your business.

What are the system requirements to run PaintManager software?

All computers shipped by PPG will run PPG software. Operating systems currently supported are:

Is there an email address that I can send my request to?

Yes. Send special requests to the Refinish CSSS Team. This email address is checked periodically, so you can expect a response within 48-72 hours.

Why the yearly subscription?

The yearly subscription is used to ensure that all customers are properly registered and receiving their updates in a timely manner.

How many computers can use one subscription?

This depends on whether the computers are networked or not.
Non-networked computers:
A body shop/repair facility can have up to three systems from a single CD.
A jobber/distributor can use a single CD for up to five systems.
All systems must be physically located at the same location (street address). Each location must have its own subscription.
Networked computers:
A maximum of five computers (networked) per subscription, unless verified by an IMS.
Report Viewer:
There are no limits to the number of machines that the Report Viewer can be installed on.
In all cases, if more than one CD is desired, then each CD will result in its own subscription fee. This is governed by the Configuration ID used installing/activating the software. All systems on a network must use the same PaintManager software configuration ID as the primary TouchMix hardware.

Can we connect more than two scales or touch screens to one computer running PaintManager software?

No. Each TouchMix system--consisting of a scale, touch screen and computer--must be its own system.

Do you have to run updates on all the networked computers in the office running PaintManager software or just the mixing computer?

Yes, all computers using PaintManager software must be updated at the same time. The specific steps are:

1. Exit all PPG software on all networked computers. This includes:

  • PaintManager software
  • Report Viewer
  • Paint Shop Interface
  • Site Data Manager

2. Insert the PaintManager software CD in the CD-ROM drive of the TouchMix computer.
3. Run the update.
4. After the update is completed, repeat steps 2 and 3 for each of the other computers that use PPG software.
5. Once the update is completed on all computers running the PPG software, launch the PaintManager software on the primary TouchMix computer first.

What is the Configuration ID?

This is the number at the top left of the PaintManager software screen that follows the CI: designation. It is a three digit number and helps determine various configuration settings that will be available within the software.

Why does the install code run out when I have days left on my subscription?

Typically, this occurs if the software expiration date is reached but the software has not been closed for a long time. A feature is the install code expiration warning. When the install code has 29 days remaining, a warning will pop-up reminding you to call the Help Desk for a new code. This warning will continue until the code is renewed or it expires. If the code expires, the software won’t open until the code is renewed.

If I can locate a temporary replacement scale, can you help me with where to send the scale for refurbishing?

Yes. Contact the PPG Computer Support Helpdesk at 1-800-647-6050. They can assist with most questions and support issues. For scales, they will probably provide the contact information for the scale manufacturer.

Why do I have to set up the Dymo printer on a new install since they come with the new equipment and should already be set up?

This is a Windows Operating system issue. Windows detects the individual printer that is used during the initial software installation. Since the Dymo printers are shipped from a warehouse instead of the Strongsville facility, a different Dymo printer will actually arrive with the system. When you plug it in, Windows determines that the serial number is different and then will want to set up the printer again.

PaintManager Software Capabilities


What are some of the capabilities of PaintManager software?

PaintManager software can do a lot more than just “look up color.”
The following is a list of the more commonly used advanced features:

Formula retrieval: Lookup color mixes by OE Code or by Brand Code

Mix across the scale:

RTS/RFU: Bookmark commonly used products with their reductions and ratios
Advanced pricing: Set your cost and your selling price
Mixed inventory: Use previously mixed material, resulting in less waste
User management: Set Security and passwords for each individual by their job description
VOC tracking: Track VOCs using the National Rule, or set up a localized rule
HAPs tracking: Track the HAPs for the liquids used in a facility

What is the “%” symbol used for when searching Honda and other vehicle color codes?

The percent sign is used as a wild card character for searches. For example, if you wanted to look up the Honda code NH701M, but were unsure of the last letter of the code, searching NH701M% will yield the four results — NH701M-C, NH701M-S, NH701M-H and NH701M-L. This is especially useful for Honda colors. Note: you would get the same result if you enter %H701M%.

Can I mix a large quantity of clear or primer and cost it to more than one RO?

Yes. All products, color, clear, primers and sealers can be mixed for more than one RO. The easiest method is to select the multiple ROs you want to mix to from the Main Screen.

How do I delete a mix that was done on the wrong RO?

Delete the mix by going to Production Management - Details, highlighting the mix and clicking on the delete button. The mix can also be re-assigned to the correct RO from this screen by clicking on the Transfer button and selecting the correct RO.

What happens if a duplicate RO is created in PaintManager software?

PaintManager software is intentionally programmed to permit duplicate ROs per customer request. This can create issues if care is not taken. If an RO already exists, a warning message will display.

Can I create and save my formulas in a custom library?

Yes. PaintManager software has the functionality to create and save any custom formulas.

Will custom formulas show up on networked PaintManager systems?

Yes. On a networked system, any information entered will appear on all systems on the network running PaintManager software.

Can PaintManager software run and job cost from a non-TouchMix system?

Yes. The best way to accomplish this is to use the record as mixed capability. With “Record As Mixed” enabled in the Utilities - Option setting, on the formula screen do not click on the weigh button. Instead, click on the Record As Mixed button. This is usually on the second page (click on the More Options button).

Can we adjust Coatings for all networked machines for one PaintManager system?

Yes. On a networked system, any information entered will appear on all computers running PaintManager software. It is recommended that changes to a bookmarked coating (ratio/product) be done only when the affected coating is not being used on the system.

Where are Engine Bay codes located in PaintManager software?

Engine Bay codes typically fall under non “Motor Manufacturer” Source Types. Changing the Source Types dropdown from Motor Manufacturer to “All Source Types” will provide accurate results.

What is the difference between markup and margin, also known as profit margin?

Markup is how much an item is increased in the selling price over the cost. The margin, or profit margin, is how much profit is made after the cost of the product is subtracted from the selling price. The easiest way to think about it is that margin is based on selling price while markup is based on cost.

Margin: The percentage margin is the percentage of the final selling price that is profit.
Markup: A markup is a percentage of the cost price added to get the selling price.

Does PaintManager software have reporting capability?

Yes, PaintManager software has an add-on program called Report Viewer. It is packaged with the CD and can be installed as such.

What do we have to do to install PaintManager software on a body shop network?

This is a relatively simple process. The easiest method is to ensure the network cable is in place and then contact your IMS or request an IMS by sending an email to the CSSS Team. If you want to set up the network yourself, please download and review the setup instructions.

Can we connect more than two computers running PaintManager software?

Yes. This will allow you to provide reports from either machine regardless of which machine the product was mixed on. As long as one TouchMix computer provides the source data, this will result in a single set of data no matter where you mix the material.

Can we put PaintManager software on a wireless network?

Yes, but whenever possible, a wired network is recommended. The primary limitation is that wireless networks are slower than wired networks. Even with an excellent signal, in most cases the fastest wireless network offers half the speed of a standard wired network. Security is another potential problem.

Troubleshooting


The computer is bogging down. What can I do to fix it?

1. Properly close/shut down the computer.

  • a. If on a network, make sure everyone else is out of the program before doing this
  • b. Exit all programs
  • c. Click on the Start button in the lower left corner of the screen and select shut down
  • d. Wait about five minutes and then power the computer back up

2. Close any jobs that have left the shop (and been paid for). Do not archive these jobs if you may need to re-open them later!
3. For networks, exit the PaintManager software on all the clients, then exit and re-enter the PaintManager software on the TouchMix server
4. If the slowdown is sporadic, it may be caused by multiple people entering data at the same time.

What does it mean when I see a message “Error on building DBF Files”?

Typically this will occur during one of two situations.

The first is if you are on a client machine (office computer) on a network. This indicates that the networked computer cannot communicate with the TouchMix computer. Common reasons for a lack of communications are:

  • The TouchMix computer is not turned on
  • The drive mapping is unmapped
  • A cable is unplugged or the connection is bad
  • The router/hub is unplugged
  • A conflict with the network addressing Contact the Help Desk, your IMS or the Shop network person for assistance in resolving network issues.

The second may occur if you launch the software twice on the same machine. The solution is to look at the task bar at the bottom of the screen. If it is listed twice, just exit the second instance of the program.

Internet Update Registration and Authentication


How do I sign up for Internet Update?

Any PPG products user currently utilizing PaintManager software and has a high-speed Internet connection can register for Internet Update. For more information, see our Internet Update overview.

What is my CTS number and where can I find it?

The CTS or Customer Tracking System number is a set of unique numbers associated with your location. Your CTS number is included on the mailing label of the PaintManager software CD or Repaint Reporter publication. For assistance in retrieving your CTS number, call your customer service representative.

Why do I have to provide my electronic signature on the consent form?

The Internet Update utility provides a two-way exchange of information. On a routine basis, PPG will provide product and pricing information as well as new color formulas to the end user and collect data from the shop or Distributor computer. To ensure the highest level of confidentiality in this exchange, the signature of the business owner or manager at each installation location is required to confirm consent. To simplify the process, an electronic signature is acceptable.

What is PPG going to do with my information?

PPG is continually seeking to improve color. Collected information will focus on the color selection and mixing processes, in addition to product usage. This data helps PPG evaluate itself and refine business and paint processes for our customers.

If I have more than one PaintManager software set up at my location, do I have to register each computer?

No. Only one registration of Internet Update is required per location. The final step of the registration process generates a unique Personal Identification Number (PIN). The PIN and the location’s CTS number are the only requirements to download the Internet Update utility.

PaintManager Software Subscription and Fees


Will my PaintManager software CD mailing be cancelled when I register for Internet Update?

Yes. Once you register for the Internet Update program, you will no longer receive PaintManager software CDs in the mail. If you need specific hardware drivers that are typically available on the CD, go to the PaintManager software Support page to download all hardware drivers needed to maintain your software system.

How will my support fees be affected?

The annual software support fee covers the development and delivery of new PaintManager software features and functionality. That’s in addition to the ongoing e-mail, phone, remote and onsite field help needed to ensure our users are fully operational at all times. With the ability to receive monthly program and data updates (12 per year), our customer service teams will be prepared to interface with our end users on a more frequent basis.

As a special incentive, support fee charges for customers who actively register and participate in the Internet Update program will be reduced from $300 to $100 upon their renewal date.

Can I receive a list of my subscription renewal dates?

To access your PaintManager software subscription renewal dates, log into this website and go to PPG’s Online Ordering Services. Go to Subscriptions / Software Maintenance. Distributor locations and collision shops are listed with their PaintManager software subscriptions and renewal month.

As a Distributor, can I copy PaintManager software CDs for my shops?

 No. Reproducing PPG’s color information is a violation of the PaintManager software Lease/License Agreement. Any location requiring more frequent color updates and the most up-to-date software functionality should consider establishing a high-speed Internet connection for their PaintManager software computer.

What type of Internet connection do I need?

A high-speed Internet or “high data access” connection refers to any type of Internet connection that is always available and is not a standard dial-up connection. Most cable, DSL, Satellite or Wireless Internet providers offer the popular methods for achieving fast Internet access.

Do I need an Internet connection in the mix room?

For the Internet Update utility to function, the computer operating the PaintManager software MUST have access to the Internet—either directly or via a network. The computer should reside outside the mix room and be contained within a standard cabinet to prevent dirt and other debris from effecting its performance (see Simple Network Reference Guide). How do I secure/lock down my Internet connection?

There are several options you can take to protect your computer from viruses and malware while connected to the Internet. Refer to the Recommended PC Security Actions brief for suggested steps to protect your system.

Does the computer need to be “ON” to receive updates?

 Yes. Keeping the computer powered will allow the update to take place at the designated date and time. That is why it is important to keep the Internet Update utility open (minimize in system tray. It is recommended that the user exit the PaintManager software at the end of each business day so the updates can run effectively. The computer MUST be ON and running during the update period.

Does the PaintManager program need to be “ON” or running to receive updates?

No. The PaintManager program MUST NOT be open or running during the information transfer. For the Internet Update utility to function, the computer must be powered on and the Internet Update utility running but minimized.

Your current PaintManager program CD has a feature that will automatically shut down the software program at a specified time. This will allow your Internet Update application to run and provide you with the most up-to-date color formulas and program updates. The user simply needs to start the PaintManager program the next day.

Yes. The Internet Update program installed on the computer is all that is needed to be open or running while the information transfer takes place. The PaintManager program MUST be closed and not running during the information transfer. Get into the habit of minimizing the Internet Update application.

Connection speed is influenced by your provider, location and time of day. For best results, your Internet Update utility should be configured to perform the data transfer after typical working hours.

Yes. Antivirus software is highly recommended for any computer that is connected to the Internet. Select a software package that provides virus protection and the ability to scan files and remove infections. When will the Internet Update utility run?

How do I know I received my updates?

The main screen of the Internet Update utility will post the results of the most recent update. For more information, refer to the Internet Update User Guide.

What information is available with the Internet Update utility?

 As with PaintManager software updates, new color formulas, products, and pricing are key components of the data transfer. The Internet Update utility will also provide software upgrades in features and functionality, when available. This process will also upgrade the Internet Update utility as well. Do I have to enter my PIN each time I want to receive an update?

No. The PIN is generated during the registration process and is used only one time during the configuration of the Internet Update utility. Only one PIN is needed and can be used in combination with the location’s CTS number.

No. A fully functional Internet Update utility is all that is needed to have the most current program, color and product information.

What is the Paint Shop Interface?

PPG’s Paint Shop Interface allows the PaintManager color retrieval software program to work with today’s popular body shop management systems to enhance the sharing of critical information between the front office and the paint operation.

Why would I use the Paint Shop Interface?

Using the Paint Shop Interface, a collision center can track all paint and materials product consumed against the correct repair order, making it easier to evaluate materials usage and financial performance. And since repair order and estimate information is automatically transferred to the PaintManager software from your body shop management system, technicians are assured of having up-to-date information on every repair—eliminating inefficient re-keying of data.

What type of information is transferred?

Typical Repair Order data includes:

Is the Paint Shop Interface data transfer secure?

Yes, the data transfer is secure. For many management systems, the data is simply transferred from the management system in the collision center to the PaintManager software in the shop, never leaving that location. In cases where the management system is conducted over the Internet, the data transferred by the interface is fully encrypted and secure.

How does this interface work?

After the interface has been established between the Body Shop Management System (BSMS) and the PPG PaintManager software, repair order information will automatically transfer from the BSMS to PaintManager software. The paint technician will be able to access all transferred ROs via the PaintManager Production Management software screen. When a vehicle has been repaired and delivered and the RO has been closed in the management system, the RO will be removed automatically from the Production Management view.

Do I need a network connection to operate the Paint Shop Interface?

Yes. Before the Body Shop Management System can transfer data automatically to the PaintManager software, the mixing computer (TouchMix hardware) must be on the shop network. See Simplifying Your Network for more information.

Can I see the color variants?

The color image is a representation of the original equipment color standard. The Paint It tool is intended to be a color search and identification tool which provides a visual representation of the exterior body color and compatible non-body colors via a web based software program..

The tool is not a color matching tool and therefore visual color decisions between color images on screen is not recommended. A user’s computer monitor, video card and lighting conditions will vary. The product disclaimer states that the images are intended for representation and identification purposes only.

Can I find color box locations using this tool?

No. Color box location information is specific to the color chips within a variant deck that supports a particular paint system. The Paint It tool does not support one specific paint system. Since the Paint It tool is a color identification and selection tool, it can be used with all paint systems to find the correct color information.

How well does the color image represent the vehicle color?

Each color image has been created from a digital scan or photograph of an actual painted surface. Using a calibrated color monitor and graphics software, each image has been visually approved under controlled geometry and lighting conditions. Due to computer monitor and lighting condition variations, an attempt to compare a car part, color chips or spray out cards to the images on screen is not recommended.

How do I search for wheel colors?

To search for usage or non-body information, select usage on the left side of the page. Select wheel. All wheel colors will show on screen for the model year or manufacturer selected.

To refine the search, use the Sort feature (upper right) and Select: Manufacturer and Graph View. Other Sort offers include: Solid / Metallic and Color Family.

How do I search for multi-tones?

Multi-tone is a category under color family. The returned color images will be a combination of exterior / body and non-body multi-tone records. Note: The order of the images is presented in alpha numeric sequence and may not represent the actual location on a vehicle (e.g., the first or top color image may not be the top part of the vehicle).

Selecting usage will result in both exterior and interior multi-tone records being returned. To refine the search, use the Sort feature (upper right) and Select: Manufacturer and Graph View.

How do I find the compatibility/usage information for a car color?

If you know the Manufacturer Code, Brand code or color description, simply enter in the “Search” box (top, left side). Or select model year, manufacturer and model. Refine the search by selecting a usage, color family or solid/metallic. Once the correct color image is returned, highlight the image and an information box will appear on the right side.

Confirm the color name, manufacturer, year and manufacturer code. Select “View” under the Usage / Compatibility header. A model box will appear that confirms all models using this color. Correctly select the model and “View”. All compatible information (color image and data) available for that exterior color will be displayed.

Why is there no compatibility information for BMW or Honda colors?

The Domestic Vehicle manufacturers (Chrysler, Ford, General Motors) provide usage information for both the exterior and interior, trim, underhood and wheel color. Import Vehicle manufacturers typically provide only the exterior color information. Each manufacturer distributes and manages their information differently. If this data becomes available, the information will be provided in the tool.

How can I find bumper colors?

The usage category “Trim” will contain information relative to accent, bumper or grille color data if provided by the Vehicle manufacturer.

When using the Search box, why is there more than one result returned?

The criteria entered in this field are searched against all files within the software product, including color names, brand codes, etc. For example, entering “LK” in the Search box will return the Ford code, LK, Dark Blue in addition to color names that contain “LK” like “silk” or GM code, GLK, Black Diamond. If the user only has partial color information, the open search box feature will return all possibilities.

How can I find a color formula?

At anytime the user selects and highlights a color image, more information about that image is available (right side). After confirming the correct exterior color or non-body color, select “View” under Formulations (password required). The link will take the user automatically to the ColorMobile application. After entering your e-mail and password, the color information is retained and the user can select the paint system desired.

Why do I only see International colors when I search on the ColorMobile application?

To improve functionality with the ColorMobile application, you are now able to select Countries in your preferences to limit your search results. International colors will always be returned in the search results, but you can add other Countries through the Preferences screen. Just click on the Menu button then Preferences and click on the Countries multi-select box.

Will the ColorMobile application remain open on my device indefinitely?

No, to preserve our intellectual property, the application will automatically shut down after 2 hours and the user will be required to log in.

What is Match Rating?

Match Rating is a scientifically developed algorithm that utilizes the color information or reflectance data obtained from the spectrophotometer. A comparison is made between the vehicle Target color and the color database. The lower the Match Rating, the better likelihood to retrieve a blendable formula for the vehicle repair. When the Match Rating is 10 or less, the visual indicator will be GREEN. When greater than 10, the user should check the formula via a spray out or variant chip if available. The Match Rating is still the first and most reliable indicator when making a color match decision.

What is a "good" Match Rating?

Our studies and numerous field trial results proved the following set of Match Rating guidelines to assist the refinisher in their decision making process.

Match Rating between 0 and 10: Blendable for Metallic and Pearl colors
Match Rating between 11 and 20: Check with visual reference (spray out or chip)
Match Rating greater than 20: Tinting may be required
Match Rating of 5 or less: Blendable for Solid colors

What is Texture?

The RapidMatch device continues to serve the automotive repair industry with advanced optics and five angle measurement capability assured to characterize the most difficult OE coatings. Since PPG has the most advanced database of five angle color data, we have developed advanced algorithms to not only find the best color but also provide the user with information on texture.

By comparing five angles of color and lightness/darkness data, the system can indicate if the car and the selected formula have similar texture [OK], coarser [C] or finer [F].

OK - Texture is Similar to the Target
C - Texture is Coarser than the Target
F - Texture is Finer than the Target

When is the Texture good?

When the Match Rating (MR) is 10 or less (Blendable / GREEN) and the Texture (T) is similar to the Target, a GREEN OK will show on the results screen. At a glance, the user can be assured to go with GREEN, GREEN, GO confidence when selecting the best match for the repair. There will be times when the suggested database formula is either Finer or Coarse when compared to the Target - in those situations the yellow indicator will be present.









When the Match Rating is greater than 10 (Check / YELLOW), the Texture will be included, but no color indicators will be available. A visual check is always recommended prior to mixing and repairing the vehicle.

How are the instrument readings downloaded to the software?

With improved workflow comes some automation in the process. The user no longer needs to force "Download Readings" from the PaintManager software. There is a built in automatic download communicator between the instrument and the software.

We added a new feature when measuring several vehicles at one time. From the Readings List, each RapidMatch X-5 instrument download contains a color image which provides a quick visual representation of the target color. This feature is extremely helpful when working on several vehicles at one time.

Metallic / Solid is now automatically selected - can I override?

To streamline processes and provide some automation in the system, the intuitiveness of a five angle device combined with our science allows an automatic detection if the target color is a mica / metallic or solid. The user no longer has to input this information to the system prior to search.

The user can override this selection. In the case of tri-coat colors, some users prefer to use "solid" for the reflectance search to achieve a better ground coat / main layer color.

I measured a solid color, but the selection Mica / Metallic was highlighted?

Ensure the panel you are measuring is free of scratches and any debris. Presence of surface artifacts will cause the device and software to possibly generate incorrect information.

I used the OEM Code Search method - I don't see the OEM Search button?

"Code" entry (OEM code, brand code, competitor code) continues to be the preferred method for best search results. A convenient Warning / Pop Up box asks the user to enter a code; this will ensure the preferred search operation.

"Warning: We recommend entering a Color Code when conducting a metallic or pearl search".

NOTE: If an invalid or partial code is entered on the initial screen, the following message will be displayed:

"Code is not valid. Do you want to use it anyway?"

With a valid code entry, an action oriented results screen delivers the best starting formula quickly - "at a glance". Results are delivered in tabular view which quickly alerts the user to Blendable (GREEN) Match Rating returns.

After 2 clicks the user is able to view and choose the best formula. The Match Rating remains the same:

Less than or equal to 10: Blend
Greater than 10: Check

What happened to the Wild Card button?

A Wild Card Search can be performed when there is no code information available. In this search routine, the entire Refinish color database is available to find the closest match. As in the prior version of the RapidMatch software, the Match Rating value will be provided but you will not have a corresponding GREEN or YELLOW indicator. This will be the same for the Texture Reading as well.

We recommend doing a sprayout card to check any formula that is found without using a color code search.

Is the Adjust feature still available?

In some situations, a formula can be further adjusted. The Adjust Button will appear when conditions are mathematically right to perform an adjustment to the selected formula. The adjustment offered will provide some directional improvement in color. If the Adjust Button is "grayed out," the best formulas have already been provided to the user.

New - Improved identification. The original and adjusted formulas are now displayed side by side with the difference calculated to make it easy to choose which formula you prefer to use.

Simply press the Original or Adjusted buttons at the bottom of the screen to start mixing your preferred formula. If the Adjusted formula is selected, both the formula screen and label will state that the formula was Adjusted.

What is Filtered Search?

When performing a Code Search, there is an option to take the search in a different direction. Filtered Search focuses on the effect pigment of a returned formula from the Match Rating formula list. By selecting a Match Rating formula as the starting point, it will be the Anchor by which all other returned formulas will be rated. The key search criteria are the effect pigment(s) of the Anchor formula. This search routine will provide further options beyond the original code and provide the refinisher with an additional list of best match formulas-all showing their corresponding Match Rating value and comparison to the anchor.

Effect Compatibility = More than Anchor
This formula type has the same effect pigments as the Anchor - and more. Use the Compare feature to compare the Anchor to the More than Anchor formulas.

Effect Compatibility = Some of Anchor
This formula type has at least one of the effect pigments when compared to the Anchor selected, but it does have some additional effect pigments. Use the Compare feature to compare the Anchor to the Some of Anchor formulas.

Effect Compatibility = Same as Anchor
This formula type has the same effect pigments when compared to the Anchor selected.

How do I obtain the RapidMatch program software?

Can the RapidMatch software work with tri-coat colors?

Yes. The RapidMatch program software will assess a tri-coat and provide Search - Rate results, but the Adjust feature will not be available.

What does the "Match Rating TOO High - Check the color info" warning message mean?

It is important to ensure that the downloaded reflectance file is properly identified with the correct OEM code information. An incorrect data entry could cause the Match Rating results to be high.

What does the "An adjustment could not be performed" warning message mean?

When a selected formula is adjusted, the formula's components are fixed and their amounts will remain the same, or will be either increased or decreased proportionally to direct the color closer to the target. When this criteria is used in the adjust computation, it may not be able to "move" the color into the best direction to the target color. In those instances, a message will tell the user that an adjustment could not be performed.

PPG manufactures a wide variety of coatings. There are many raw materials (or ingredients) that are used in coatings (or paint) formulations. Each ingredient has a specific purpose for being used in the formulation. A product is designed to have certain properties based on the customer’s end use requirements. For example, customers who use coatings to paint home interiors have different requirements than customers who use coatings to paint automobiles. Isocyanates

PPG manufactures a wide variety of coatings. There are many raw materials (or ingredients) that are used in coatings (or paint) formulations. Each ingredient has a specific purpose for being used in the formulation. A product is designed to have certain properties based on the customer’s end use requirements. For example, customers who use coatings to paint home interiors have different requirements than customers who use coatings to paint automobiles. Each coating system has its own unique chemical, physical, and physiological properties. Before you use a coatings product, read the entire product label and Safety Data Sheet/Material Safety Data Sheets (SDS/MSDS). This way, you will know what you are working with and how to safely handle the product. What are isocyanates?

Isocyanates are compounds containing one or more –N=C=O groups. These groups react with compounds containing alcohol (hydroxyl, OH) groups to produce polyurethane polymers, which are components of polyurethane foams, thermoplastic elastomers, spandex fibers, and polyurethane paints. The term isocyanates herein will refer to the broad range of isocyanate products including diisocyanates, prepolymers, and polymeric isocyanates.

Why are isocyanates used in paint?

Isocyanates are used in paint because they provide a cross-linking mechanism (chemical bonds) that is unique from other coatings. As a result of these chemical bonds, isocyanates help create more durable coatings with outstanding aesthetic properties. Isocyanate-containing coatings provide films that cure quickly at low temperatures. They also have excellent application properties, producing smooth films and high gloss coatings.

What is a “blocked” isocyanate?

A blocked isocyanate is an isocyanate that has been chemically “capped” so that it does not react at low cure temperatures like an unblocked isocyanate. At elevated temperatures, however, a blocked isocyanate “unblocks” to yield the isocyanate functionality. When blocked isocyanates are used in coatings, small amounts of isocyanate may be released along with some of the blocking agent and other organic fragments during the normal curing process.

Health Hazards


Can isocyanates be used safely?

Yes. Always consult the PPG product SDS/MSDS and label for proper handling instructions. If you follow the recommended procedures for handling the product and controlling isocyanate exposure, isocyanates can be used safely.

What are the major human health effects of overexposure to isocyanate products?

Overexposure to isocyanate products can cause skin, eye, nose, throat and lung irritation. It can also lead to skin or respiratory tract sensitization. A third effect for which there is some evidence is a chronic (long-term) loss of lung function. Refer to the product SDS/MSDS for a more complete list of potential health effects and symptoms.

What is sensitization?

Sensitization is the body’s allergy-like response to a substance which has been inhaled or touched by a person. Sensitization may result from a large single overexposure or from repeated overexposures at lower levels.

Respiratory sensitization may be caused by inhalation of airborne isocyanates. Symptoms of respiratory sensitization may include asthma-like responses such as coughing, wheezing, tightness in the chest, shortness of breath, and headaches. Respiratory sensitization to isocyanates may be permanent.

Many isocyanates are also skin sensitizers. Skin sensitization may occur in response to skin contact. A skin sensitizer causes normal skin tissue to have an allergic reaction after repeated exposure. The skin sensitization reaction may include rash, itching, swelling, or hives.
Onset of sensitization depends on the type of isocyanate, the dose, the route of exposure, and the susceptibility of the individual. The response may be immediate, delayed, or both. Once sensitized to an isocyanate, it may take only a small amount via inhalation or skin contact to trigger an allergy or asthma-like respiratory response or reddening of the skin. There is some evidence that sensitization to one type of isocyanate may trigger an asthma-like response when the person is exposed to a different type of isocyanate.

Is there any way to prescreen individuals to determine if they are likely to become sensitized to isocyanates?

There is no simple test that can be done to identify people with a higher than average risk of becoming sensitized. Pre-placement and periodic medical surveillance is recommended for all employees who work with or who come into contact with products that use reactive isocyanates. Persons with asthmatic conditions, chronic bronchitis, previous isocyanate sensitivity, a history of skin or respiratory allergies, or other respiratory conditions should be medically evaluated on a case-by-case basis to judge the fitness of the individual to work with isocyanates. If a person is diagnosed as sensitized to isocyanates, no further exposure to any type of isocyanate should be permitted.

Are there any warning signals to indicate that I am being overexposed?

Isocyanates are difficult to detect by your senses alone. Occupational Exposure Limits (OEL) for isocyanates are typically below the concentration that your eyes or nose can detect. This means that isocyanates have “poor warning properties,” and that even if you cannot sense isocyanates you may still be overexposed.

Are there any other hazards related to isocyanate products?

Consult the product SDS/MSDS to review the potential health effects of other hazardous ingredients or the potential hazards of associated products. The PPG product SDS/MSDS and label provide all the information necessary to safely handle, use, and store the product.

What factors may lead to overexposures when using isocyanate products?

Inhalation exposure hazard varies depending on many factors. Some of these factors are vapor pressure, volatility, application method, temperature, and characteristics of the work area. Isocyanates have much lower vapor pressures compared to those of other liquids such as water and organic solvents. This means that isocyanates evaporate very slowly compared to the other liquids. However, when isocyanate products are used in spray applications or at elevated temperatures, inhalation exposure is a larger concern. The volume of material being used, the size of the area in which it is used, the size and shape of the part being formed, the temperature of the material, and the amount of ventilation in the work area are also factors that have an effect on potential overexposure.

Controls

How can isocyanate exposures be controlled?

Exhaust ventilation, enclosure of the operation, and personal protective equipment (PPE) are typical methods of isocyanate overexposure control. For example, during spray application, spray booths are used to help enclose the isocyanate operation and prevent exposure to other employees. PPE for the eyes, respiratory tract, and skin may include chemical splash goggles, positive pressure air-supplied respirators, impervious gloves, and protective clothing. Local exhaust or general dilution (adding more air to an area) ventilation is needed to remove decomposition products when welding or flame cutting on surfaces coated with isocyanates.

Do I have any options for the type of respiratory protection?

A supplied-air respirator with a full facepiece is considered to be one of the most effective types of respirators in protecting against airborne contaminants, including isocyanate vapors and spray. This type of respirator is designed to protect the face, eyes, and respiratory tract when worn properly and connected to an appropriate source of breathable air.

Half-mask supplied-air respirators, when worn with a face shield and chemical splash goggles, are another option.

During selected situations involving solvent-containing isocyanate products, some users may elect to use air-purifying respiratory protection equipped with appropriate chemical and particulate filter cartridges. This option is only appropriate as part of a comprehensive health and safety evaluation of the workplace operation and the implementation of a complete respiratory protection program. This evaluation needs to include a review of governmental regulations, an exposure assessment, an evaluation of control measures, and the capabilities of the available respiratory protection.

How can I measure my potential exposure?

Industrial hygiene air sampling is recommended to evaluate potential airborne exposure to isocyanates. The sampling and analytical methods selected should be based upon the particular isocyanate to be sampled and the application method. Be sure to share the SDS/MSDS(s) with the laboratory performing the analyses. Surfaces can be checked for isocyanate contamination using commercially available surface wipe sampling kits.

What other methods can I use to minimize employee exposure to isocyanates during spray applications?

Using a brush or roller method rather than a spray application method will reduce the potential for exposure to airborne isocyanates. Non-heated coatings applications reduce the likelihood of isocyanate evaporation because the isocyanate’s vapor pressure decreases with decreasing temperature. Good work practices, such as positioning workers so they do not spray directly towards each other and minimizing the number of employees in the immediate work area, also help to decrease exposure.

What should be done if there is a spill of an isocyanate product?

Follow the spill procedures for your work location and dispose of waste in accordance with your federal, state, provincial, and local environmental control regulations. Plan to have spill control/neutralization materials and employee protective equipment located so that it is readily available in emergencies. Non-essential personnel should be immediately evacuated from the contaminated area and all sources of ignition (flames, hot surfaces, and electrical, static or frictional sparks) should be eliminated. It is important to ventilate the area. Dike or contain the spilled material and try to control further spillage. Vermiculite, Fuller’s earth, or other absorbent materials can be used to absorb the spill. Containers of spilled material should not be sealed for 72 hours due to carbon dioxide pressure buildup which could cause the container to rupture. It is recommended that the product’s SDS/MSDS be reviewed for specific spill and handling instructions.

How do I decontaminate an area after a spill?

For most isocyanates, the following is a recommended decontamination solution:

  • 20% liquid nonionic surfactant, such as Dow Tergitol TMN-10, that mixes well with water
  • 80% water

If the spill involves hydrogenated MDI (dicyclohexylmethane-4,4’-di-isocyanate), sometimes called HMDI, a combination degreaser/monoethanol amine/water solution is recommended.

Handling Cured Parts

When is it safe to touch a newly cured part?

Check with your PPG representative to determine the proper curing time and other requirements for the PPG product you are using. Isocyanate exposures are not expected from cured parts or films.

Are there any hazards associated with sanding or machining isocyanate products?

For cured parts or films, it is not expected that isocyanates would be generated in the dust produced during sanding or machining processes. It is still recommended that a respirator suitable for preventing inhalation of dust particulates formed during these operations be worn.
Sanding or machining uncured isocyanate coatings poses a potentially larger hazard than cured parts since it is possible that airborne isocyanates can be generated. “Wet” sanding reduces the total amount of sanding dust generated and should be used whenever possible. Local exhaust ventilation, such as a vacuum sander, is another controlmeasure that can be used to minimize potential exposure to airborne contaminants. PPE should also be used to prevent skin and respiratory tract exposure to isocyanates when handling or machining uncured isocyanate products.

What types of hazardous substances can evolve during heating, flame cutting, or welding substrates that have been coated with isocyanate products?

Flame cutting, brazing, welding, or fire conditions are situations that generate high temperatures which could result in thermal decomposition of the coating. Fumes, gases, and vapors that are generated by these processes may include, but are not limited to, carbon monoxide, oxides of nitrogen, traces of hydrogen cyanide, and free isocyanate. Refer to the product SDS/MSDS for other possible hazardous decomposition products. The nature of the fumes, gases, vapors, or particulates may vary depending on the type of process being used to weld or cut, the nature of the base metal, and the type of coating system. Removing the coating before high-temperature processing will reduce the potential exposure to isocyanate-containing fumes and vapors. Ventilation (local or general area) is needed to remove decomposition products during these operations.

What is meant by “Spontaneous Combustion”?

“Spontaneous Combustion” refers to the ability of certain materials to ignite without any flame, spark, heat or other ignition source. One definition is “Combustion that results when materials undergo atmospheric oxidation at such a rate that the heat generation exceeds heat dissipation and the heat gradually builds up to a sufficient degree to cause the mass of material to inflame.”1

What materials can spontaneously combust?

A number of common materials including linseed oil, alkyd enamel resins, and drying oils can ignite spontaneously under certain circumstances. Some PPG Coatings products, as well as some products from other manufacturers, contain materials that have the potential to spontaneously combust. PPG’s Safety Data Sheets (SDS) and product warning labels or container information for products containing these materials warn of the dangers of spontaneous combustion.

How does spontaneous combustion occur?

Oils, resins or other materials that have the potential to spontaneously combust can generate enough heat through auto-oxidation (oxidation as a result of contact with air) to exceed the ignition temperature of the rags, filters, or other combustible materials on which they are deposited, which can cause the materials to spontaneously catch fire. Note that spontaneous combustion can begin without any flame, spark, heat or other ignition source.

What circumstances can lead to spontaneous combustion?

In general, spontaneous combustion can occur when towels, rags, booth filters, paint scrapings, steel wool, masking and other materials wetted or saturated with linseed oil, alkyd enamel resins and drying oils are not handled or disposed of properly.

How do I handle or dispose of these materials properly in order to prevent spontaneous combustion?

Paint scrapings, used paint filters, rags and other materials wetted or saturated with products that have the potential to spontaneously combust should not be left unattended. Clean up and properly dispose of these materials promptly. These materials should NOT be disposed of in regular waste containers. To dispose of these materials properly, thoroughly wet the contaminated materials with water and place them in a noncombustible container with a tight-fitting lid, or place them in a water-filled metal container.3 PPG’s Safety Data Sheets and product labels or container information warn of the dangers of spontaneous combustion and recommend safe disposal practices. You should always consult the SDS and label for the product you are using to identify those products that may present a spontaneous combustion hazard.

Does this rule apply to me?

Yes, all collision and fleet coatings application facilities, as well as paint stripping operations using Methylene Chloride (MeCl), are intended targets for this rule. (Industrial facilities are covered that spray apply coatings that contain the target heavy metal HAPs and/or use paint strippers that contain MeCl.)

Is the EPA going to send me a letter indicating what needs to be done to comply with this new ruling?

Local or state air quality agencies or the federal EPA will take some steps to publicize the rule. They may send a notice to your facility announcing implementation of this rule, but that is not guaranteed. You are required to comply with the rule whether or not you receive an introductory letter or other communication from the government. When in doubt, you can contact the local EPA and ask what your next step is. Reference rule 40 CFR Part 63, Subpart HHHHHH.

What is the deadline for notification?

New facilities must file an Initial Notification within 180 days of startup.

What needs to be in the notification?

The rule requires specific information including your company name, address, identification of the rule (40 CFR Part 63, Subpart HHHHHH), facility description, and your compliance status. Consult the rule or contact your state or local air agency or the U.S. EPA as to complete filing requirements. New facilities must indicate that they are in compliance at the time of the Initial Notification. If an existing facility indicates it is not yet in compliance in the Initial Notification, it must file a Notification of Compliance by March 11, 2011.

When must a facility comply?

New facilities are expected to comply by at startup.

What must a refinish facility do to comply?

Some of the major requirements for spray coating operations are: 1.) Use HVLP or equivalent transfer efficiency. 2.) Use only enclosed prep stations and spray booths meeting the definition of this rule (with minimum 98% efficient filters). 3.) Train all painters to utilize the required technology, including methods to minimize overspray/waste. 4.) No spray gun cleaning by atomization of cleaning solvent into filters;must use hand breakdown of guns for cleaning or enclosed gun cleaner apparatus. 5.) Keep records to demonstrate compliance. 6.) File required notifications with EPA and/or your state or local air agency.

Do I need to take any action if I do not spray coatings that contain listed heavy metal HAP or use stripper that contains methylene chloride? Do I have to follow any of this?

If you are a motor vehicle or mobile equipment surface coating operation, you must comply with this rule even if you do not use methylene chloride or the listed heavy metal HAP. If you do not use coatings containing any of the “target HAPs” (i.e., chromium, lead, manganese, nickel and cadmium) or use paint strippers that contain MeCl, you can apply for an exemption (from the requirements of this rule) with the EPA Administrator, presenting evidence of your claim that your operations do not involve the use of any of the target HAPs. Exemptions are effective for coatings operations only after written approvals are received from the EPA Administrator. Exemption from this rule does not exempt you from other federal, state or local regulations applicable to your operations.

Can I eliminate the spraying of listed heavy metal HAPs?

It is possible that you can eliminate use of the heavy metal “target HAPs” by selecting the appropriate products. The PPG refinish website will list all products that contain these metals once the EPA has finalized its list of restricted heavy metal HAPs (March 9, 2008). But even if you use only products that do not contain any of the “target HAPs,” you will still need to apply for the exemption discussed in #8 above.

If I already go to training, use HVLP and have an enclosed spray booth and clean my spray guns as required. What else do I need to do to comply?

In order to meet the requirements of this rule, you must notify the EPA and/or your state or local air agency of your existence (i.e., the Initial Notification and, if needed, the Notification of Compliance Status); maintain records documenting your compliance and keep records of any change in status including: new painters hired, facility modifications impacting status etc…) Consult the rule and/or contact the EPA or your state or local air agency for complete filing requirements. Most of these notification and recordkeeping requirements also apply to paint stripping operations using MeCl.

How soon after hiring must a new painter be trained and certified?

At a new facility, all painters must have training within 180 days of their date of hiring. Training is “good” for 5 years. If approved training is completed/certified within 5 years before the applicable training deadline, it does not have to be refreshed until 5 years has elapsed.

Does PPG training count?

As of December 1, 2008 PPG Certification 21 and Recertification courses (for DELTRON®, GLOBAL REFINISH SYSTEM®, NEXA AUTOCOLOR®, AQUABASE® Plus, and ENVIROBASE® High Performance systems) will have sections designed to cover the required topics.

For the required records of painter training, students should obtain the following as they complete the relevant course: 1.) a certificate of completion, 2.) a summary of the required topics that were covered and 3.) a passing final test covering topics listed in this rule.

What are the “routine spray booth and filter maintenance” training requirements?

The painter will be expected to understand how to operate his spray booth within the booth manufacturer’s guidelines, to obtain advertised performance for air flow, and optimum coatings application parameters. The operator would be expected to be able to adjust booth controls to maintain peak efficiency and to understand when and how to change booth filters as required.

If I train my painters in-house is that acceptable?

The rule does allow in-house training as long as it meets the specifications set forth in the rule. Additionally, some portions of the training for the initial 5-year period may be waived for experienced painters if you can document that those painters have equivalent work experience and/or training; but even experienced painters are required to meet the 5-year refresher training and recertification requirements in the rule.

Do I need to keep any reports?

For a rolling 5-year period, all relevant training and technology documents must be kept. All documents should present evidence of compliance with this regulation: manufacturer documentation of HVLP or equivalent transfer efficiency, manufacturer documentation of prep and spray booth filter efficiency, painter training records, and all notifications submitted to EPA and/or your state or local agency. Paint strippers using MeCl must keep records of quantities used and notifications sent to EPA, among other records. Consult the rule or contact EPA or your state or local air agency for complete recordkeeping requirements.

Are there any exemptions to the rules for refinish facilities?

Yes. This rule is intended to cover only spray application of refinish coatings systems. If your facility does not apply by spray atomization or only uses hand-held, non-refillable aerosols and airbrush with a maximum paint cup capacity of 3 fluid oz, you could be exempt. Military facilities, certain R& D and Q.C. functions and personal/hobbyist vehicle exemptions exist (no more than two vehicles per year). If you are a Refinish facility but believe you are exempt, we recommend that you verify this exempt status with your legal counsel or EPA and obtain any verification of exempt status in writing, if possible.

If I am exempt from this rule, what about all other rules and regulations?

Even if you are determined to be exempt from 40 CFR Part 63, Subpart HHHHHH, all other applicable rules and permit requirements-local, state and federal, still apply to your operations.

If I don’t use Methylene Chloride-containing strippers, do I have to file a report with the EPA stating this fact?

No, only if you use MeCl strippers, in any amount, will you have to file with the EPA. You still may have to report spray coatings application activity under the requirements of the rule.

Yes, you must file the required reports (discussed above) for any paint stripping activity using MeCl, and you must implement several work practices including: determining the actual need for using MeCl stripper, determining whether there are viable replacements that are safer, making sincere efforts to reduce worker MeCl exposure by optimizing application conditions including storage and disposal. Yearly records of usage will also be required.
